Frequently Asked Questions

Q

How many guests fit in a 4,800 sq ft room?

It depends on layout. After deducting 15% for aisles and service areas (usable: ~4,080 sq ft), a banquet setup fits 340 guests at 12 sq ft each. Theater seating fits 680 at 6 sq ft each. Cocktail standing fits 510. Classroom layout fits only 226 because tables and aisles need 18 sq ft per person.

  • Banquet (rounds): 340 guests (12 sq ft/person)
  • Theater (rows): 680 guests (6 sq ft/person)
  • Cocktail (standing): 510 guests (8 sq ft/person)
  • Classroom (tables): 226 guests (18 sq ft/person)
  • Conference (boardroom): 163 guests (25 sq ft/person)

Q

How much space per person for a banquet layout?

A banquet layout needs 12–15 sq ft per person. This includes the chair space at a round table, clearance for servers to pass behind chairs, and aisle space. A 60-inch round table with 8 chairs takes about 100 sq ft including clearance. For tight spaces, 10 sq ft per person is the absolute minimum.

  • Standard banquet: 12 sq ft per person
  • Comfortable banquet: 15 sq ft per person
  • Tight squeeze: 10 sq ft per person minimum
  • 60" round table + chairs: ~100 sq ft footprint
  • Allow 5–6 ft between table edges for service
Q

How much does a dance floor reduce capacity?

A standard dance floor for 100 guests is about 300 sq ft (roughly 15×20 ft). This removes 25 banquet seats or 50 theater seats from capacity. The rule of thumb is 3 sq ft per dancing guest, and about 40% of guests dance at the same time. For 100 guests, plan a 10×12 to 15×20 ft floor.

  • Dance floor: 3 sq ft per dancer
  • 40% of guests dance simultaneously
  • 100 guests: 12×12 ft floor (144 sq ft minimum)
  • 150 guests: 15×15 ft floor (225 sq ft)
  • Reduces banquet capacity by ~25 seats per 300 sq ft
Q

How much space should I deduct for a stage?

A small stage for a DJ or couple of speakers needs 100–150 sq ft (8×12 to 10×15 ft). A head table on a riser needs about 200 sq ft. A full band stage with monitors needs 300–400 sq ft (16×20 to 20×20 ft). Always add a 3-foot buffer around the stage for safety and cable runs.

  • DJ setup: 100–150 sq ft
  • Head table on riser: ~200 sq ft
  • Band stage: 300–400 sq ft
  • Add 3 ft buffer around stage edges
  • Front-of-stage clearance: 6–10 ft for speakers
